Losing your passport is an unpleasant situation that can really mess up plans, not only for travellers. Whether you have already lost your passport at home, at the airport or abroad, it is your responsibility to report it and apply for a new passport as soon as possible. How to do this?

Losing your passport: what to do first

The first rule is simple: don’t panic, but act quickly and judiciously. Losing your passport is not only an inconvenience, but also a matter that is subject to legal obligations. A Czech passport is both an identity document and a travel document and you must report its loss as soon as possible.

If you have lost your passport in the Czech Republic, you are obliged to report the loss to the relevant municipality or municipal authority with extended jurisdiction. If your passport has been stolen or lost abroad, contact the nearest Czech embassy or consulate immediately. They will advise you on how to proceed and, if necessary, issue you with a travel pass to enable you to return to the Czech Republic.

Remember that if you lose your passport, the original is automatically invalid – you can no longer use it to travel. Therefore, it is important to report the loss as soon as possible to avoid possible misuse of the document.

Losing your passport abroad: how to keep your cool

Losing your passport while travelling abroad is every traveller’s nightmare. However, even here, panic is the worst companion. The quickest way to a solution is to immediately contact the Czech embassy or consulate in the country in question. There they will help you arrange the documents for your return to the Czech Republic, because losing your passport on foreign soil means losing a valid travel document.

Your Czech passport is a basic travel document and without it you may be detained at the border or refused entry into the country. Therefore, the embassy will issue you with a so-called replacement passport (sometimes called an “emergency passport”), which is used only to return to the Czech Republic. This document is only valid for a short time and cannot replace a normal passport.

Please also bear in mind that some countries require a valid travel document for transit, so if you lose your passport, there may be complications when travelling home via third countries. It can take several days for the embassy to issue a replacement document, so make sure you have enough time and have a backup plan. When you return home, you must apply for a new passport as soon as possible.

Applying for a new passport after loss

Once you have reported your passport lost, this is when you need to apply for a new passport. In the Czech Republic, this can be done in person at the relevant office of the municipality, municipality with extended jurisdiction or at the town hall. Abroad, you apply at the Czech Embassy.

To apply for a new passport, you will need a few basic documents – an identity document (for example, an ID card) and a certificate reporting the loss of your passport (or a police certificate). When you apply, you will need to fill in a form including information about the loss of your passport.

You can choose between a standard or fast-track passport. An expedited passport will be issued within a few days, but at an additional cost. A standard passport is available within 30 days. Once you have applied, you will receive your new passport in person, which is usually valid for 10 years (for adults).

Penalty for losing your passport: when do you pay and how much

The fine for losing your passport is no fiction – it is actually enshrined in Czech law. According to the Travel Documents Act, a fine of up to CZK 10,000 can be imposed for failure to report a lost or stolen passport. The usual amount of the fine is in the order of several hundred crowns, but based on our experience we certainly do not recommend gambling with the obligation to report the loss in time.

A fine for loss of passport can also be imposed if you lose your passport repeatedly, i.e. in the case of a so-called recidivism. The authorities take the loss of a document seriously because a passport is not only a travel document but also a security document.

If you report the loss of your passport immediately, you will most likely avoid a fine – for example, in the case of proven theft or other objective causes. However, if you conceal the loss of your passport and travel on a document that is no longer valid, you run the risk of heavy fines and other penalties.

How to avoid losing your passport? Tips from practice

Prevention is always better than dealing with the consequences. If you are travelling, make sure your passport is safe. The basic advice is: Never walk around with your passport loose in your pocket. Invest in a good quality document holder that can be clipped to your body or worn around your neck under your clothes.

Also, make a copy of your Czech passport and carry it separately, for example in your suitcase or in your email. In the age of modern technology, it’s useful to have your passport scanned into a secure cloud service or travel document management app.

If you’re travelling to high-risk areas, you can also try using GPS tags or smart cases to alert you if your passport is too far away. Many experienced travelers recommend always keeping your passport in multiple places, such as a hotel safe, while carrying backup documents.
