These times are slowly coming to an end. Nowadays, you can handle a large part of your communication with the Czech Social Security Administration online – via the ČSSZ ePortal. In this article, we’ll show you step by step what you can do on the ePortal, how to log in, how to apply and what to look out for.

What is the ČSSZ ePortal and why is it good to know it?

the ČSSZ ePortal is the official online gateway for communication with the Czech Social Security Administration. It allows citizens and companies to access their data, submit applications and monitor their progress.

Particularly in the area of pension insurance, it is the fastest and most convenient way to find out, for example, how many years you have worked, how much pension you can expect, whether you are missing any registered periods or when you can retire.

Whereas before you had to go to the District Social Security Office in person, today you can find out the same thing online via the ePortal.

How to log in to the Social Security ePortal

Access to the system is secure and is done through the so-called Citizen’s Identity, which is a single gateway for logging in to the state’s online services.

Login options:

  • Banking Identity – most Czech banks (e.g. Česká spořitelna, Air Bank, ČSOB) allow you to log in as easily as to internet banking.
  • eObčanka – if you have an ID card with a chip and a reader.
  • Mobile eGovernment Key – a mobile application linked to your identity.
  • Individual’sdata box – ideal for those who communicate with them on a regular basis.

Simply go to https://eportal.cssz.cz and select a login method.

What can you find out and arrange through the ČSSZ ePortal?

Informative Personal Pension Information Sheet (IOLDP)

This overview is the basis for everything. It gives you an insight into what the state knows about you in relation to your pension. You can find out here:

  • Pensionable periods, that is, periods when you were employed, running a business or caring for a child.
  • Calculation bases, the amount of your income on which National Insurance was paid.
  • Excluded periods, such as periods of unemployment, sickness or caring for a dependent. These are not counted as ‘zero’ in the pension calculation, but just as excluded.

Why is this important? When you apply for a pension, the Social Security Agency uses this information. In practice, we sometimes see that clients have whole years of employment missing from their records – typically for older jobs or bankrupt employers. Without their completion, the pension may be lower by several thousand crowns per month.

Thanks to the overview, you can check everything in time and resolve any discrepancies – for example, by submitting an employment contract, pay slips or a certificate from the employer.

Pension calculation simulation

This feature is ideal for anyone who wants to know roughly how much pension they will be entitled to. The system will make an indicative calculation based on your details.

You will be asked to enter information such as your current age and planned year of retirement, amount of income to date, details of childcare, any disability or other specific circumstances.

The system will then calculate the approximate amount you should be receiving as a pension at that time. However, the calculation is not legally binding. Rather, it is for your guidance and planning, for example if you are thinking of taking early retirement, changing jobs or need to decide when it is best to retire.

However, the indicative calculation may differ significantly from your actual pension. If you are planning for retirement or dealing with early retirement, we recommend you have your calculation checked by a professional.

Applying for a pension online (e-filing with ČSSZ)

You don’t have to go to a branch to apply when you’re nearing retirement age. You can submit your application electronically via the ePortal.

What types of pensions you can apply for online: old-age pension (regular), early retirement pension, disability pension (1st, 2nd or 3rd level), widow/widower’s pension, orphan’s pension.

How to apply for a pension via the ČSSZ ePortal:

  1. Log in to the ePortal via the Citizen’s Identity.
  2. Go to the “Applications” section and select “Apply for pension”.
  3. Select the desired type of pension.
  4. Fill in the form – personal and contact details, work history, marital status, etc.
  5. Upload the necessary documents – for example, birth certificates of children, proof of education, or proof of care or disability.
  6. Submit your application electronically.

Once you have sent it, you will usually be contacted by the relevant Social Security Office in your area of residence to complete or verify some information with you. But you can really manage most things from home.

In our practice we have seen several cases where a pension has been refused or miscalculated because of a formal error in the application or missing documents. A timely check of the supporting documents can prevent this from happening.

Monitoring the progress of the submission

Thanks to the ČSSZ ePortal, you can keep track of what is happening with your application. The system allows you to monitor the date of receipt of the application, the current status of processing (e.g. pending, approved, rejected) or communication with the official (you can see who is in charge of your case). This lets you know whether you should wait or take the next step already. This takes away the uncertainty of when you will hear from them or whether your application has been successful.

Changes to pension payments

Even if you are already receiving a pension, there may be times when you need to change something. For example, a common mistake is notifying a change of account late, which can delay your pension payment. The ePortal makes it quick and easy to make changes.

What you can do electronically: change the account number where your pension is paid, stop your pension payment (e.g. if you are abroad for a long time), pay your pension abroad (e.g. if you move permanently), change your mailing address.

All these changes are usually processed within 30 days and you will receive an electronic confirmation.

Confirmation of receipt of pension

You often need to provide proof of income, for example for a bank(mortgage, loan), landlord or when dealing with another authority. The ePortal simply generates a confirmation of the amount of your pension, the method of payment (on account, by bank transfer) or the date on which the pension was granted. The document is electronically signed and fully valid, i.e. as recognisable as a printed certificate from the office.

Other features of the portal that are worth knowing

In addition to the pension agenda, the ČSSZ ePortal offers other useful functions that you may find useful. One of them is the overview of temporary incapacity for work, where you can find out its current status, duration and information on entitlement to sickness benefits. You can also look at your employment history from the perspective of the CSSA’s records, i.e. what employment relationships have been registered with you, which can be useful not only when dealing with your pension but also in case of discrepancies with past employers. Entrepreneurs will appreciate access to electronic forms for premium payers, which make communication with the office easier and faster
